How to Choose an Office Copier That Fits Your Workload and Budget

A copier that is too small for your workload breaks down often and slows work down, while one that is too big wastes budget unnecessarily. Choosing a machine that fits your actual usage saves money on both the machine and long-term maintenance. Here are the 6 things to consider before choosing a copier for your office.

1. Monthly print volume

Start by estimating how many pages your organization prints and copies each month. If you have an existing machine, check its page counter, then choose a machine with a monthly capacity comfortably above your actual usage, to allow for peak periods and avoid overworking the machine.

2. Speed (ppm)

Copier speed is measured in pages per minute (ppm). A small office with only a few users can manage with an entry-level machine, while offices with several departments or large batches of documents should choose a faster machine to reduce queuing time.

3. Black & white or colour

  • Black & white machines: low cost per page, ideal for documents, invoices, contracts and internal reports.
  • Colour machines: ideal for presentations, quotations and marketing materials, but colour pages cost more – set user permissions to control colour printing.

4. Paper size: A4 or A3

If you need to print plans, large tables or A3 documents, choose a machine that supports A3. If you only use A4, an A4 machine saves both space and budget.

5. Essential functions

  • Scan to email / folder – reduces paper use.
  • Automatic duplex printing – saves paper.
  • Automatic document feeder (ADF) – for copying or scanning multi-page documents.
  • Network and mobile printing
  • User codes / per-department page counting – helps control costs.
  • Stapler or hole punch (finisher) – for high-volume document work.

6. After-sales service and parts

No matter how good a machine is, it will eventually need repairs or replacement parts. Before deciding, ask whether the supplier has technicians in your area, how quickly they can come out, and whether parts for that model are readily available – because machine downtime is a hidden cost for any business.
